This document describes how we collect, use, disclose, and safeguard your information when you visit or use the Arpia AI Platform & Orchestrator (the "Platform").

We offer the Arpia AI Platform & Orchestrator, a secure environment designed to enable enterprise-grade automation through intelligent agents, data orchestration, and generative AI.


2. Information We Collect

We may collect the following categories of information:

  • Account Information: Name, email address, company name, and contact details.
  • Platform Data: Information generated during your use of the Platform, including logs of actions taken, configuration settings of your workflows, behavior of your AI agents, and general usage analytics.
  • Communication Data: Email exchanges with our support or sales team.
  • Device and Usage Information: IP address, browser type, operating system, access times, and referring URLs.
  • Cookies and Tracking: We may use essential cookies or similar technologies to ensure proper platform functionality. These do not track your activity across third-party websites.

3. How We Use Your Information

We use the information we collect to:

  • Provide and maintain the Arpia AI Platform & Orchestrator
  • Ensure security, integrity, and operational functionality
  • Process billing and manage user accounts
  • Communicate with you, including transactional emails such as system alerts or billing notifications
  • Improve our services and develop new features
  • Comply with applicable legal obligations

4. Use of Large Language Models (LLMs) and AI Tools

When you use AI capabilities within the ARPIA AI Platform—including AI Assistants, AI Workers, AI Dev Codex, and other integrated AI tools—the following data handling, retention, and governance practices apply.

  • No training on your data
    Prompts, context, and AI-generated responses processed through ARPIA's integrated LLM providers are not used to train or fine-tune those providers' models.

  • Provider retention
    ARPIA configures its integrated LLM providers to minimize data retention. Where zero-retention processing is contractually available and has been enabled for an endpoint, prompts and completions are not retained by the provider. Otherwise, providers may retain prompt and completion data temporarily—typically up to 30 days—solely for abuse detection, security, and moderation, after which it is deleted unless retention is legally required. In no case is this data used for model training.

  • ARPIA platform logs
    ARPIA retains application and audit logs of AI activity (interactions with AI Assistants, tasks performed by AI Workers, and code generated via AI Dev Codex) for up to 30 days, in accordance with our internal data retention and governance policies. These logs support security, traceability, compliance, audit, and operational oversight. Access is restricted to authorized personnel under least-privilege controls. Logging is limited to what is necessary to provide auditability of activities performed within your workspace and accountability for actions taken by users.

  • Bring Your Own Model (BYoM)
    When you integrate your own model (Bring Your Own Model / BYoM), these terms do not apply to the BYoM provider. Any processing, retention, or reuse of data performed by that provider is governed by your direct agreement with it. ARPIA is not responsible for the data handling policies or security practices of third-party BYoM integrations.

  • Your controls
    You may request early deletion of AI interaction logs by contacting our support team. No data is retained beyond the stated retention periods unless required to fulfill legal obligations.


5. Transactional Email Communications

We send essential transactional emails to users of the Platform, which may include:

  • Two-Factor Authentication (2FA)
  • System Alerts
  • Scheduler Updates
  • Billing Notifications

These communications are necessary for the operation of the Platform and cannot be opted out of while your account remains active.


6. How We Share Information

We do not sell your personal information. We may share your data:

  • With service providers who support our platform infrastructure and operations
  • With legal authorities when required by law or to protect our rights and user safety
  • In the event of a business transaction, such as a merger or acquisition

All service providers are contractually obligated to safeguard your data and use it only for authorized purposes.


7. Data Security

We implement appropriate technical and organizational measures to protect your data from unauthorized access, use, or disclosure. These include infrastructure security, access controls, and system monitoring.


8. Data Retention

We retain personal data only as long as necessary to provide the Platform, fulfill legal requirements, resolve disputes, and enforce agreements.

10. International Transfers

Your information may be transferred to, and maintained on, servers located outside your jurisdiction, including in the United States. We take appropriate steps to ensure your data remains protected under applicable laws.

Our Platform is not intended for children under the age of 13. We do not knowingly collect personal data from children.

We may update this Privacy Policy from time to time. When we do, we will revise the "Effective Date" above and post the updated version on our website.
